Create your first Presbot assistant
Set up your first Presbot assistant, add useful business information, test the visitor experience, and prepare it for your website.
Before you begin
A Presbot assistant helps visitors find useful information and request a follow-up when they need personal help.
You do not need to prepare every possible answer before you start. Begin with the questions your customers ask most often, then improve the assistant as you learn what visitors need.
Before creating your assistant, gather a few basic details about your business:
- Your business name
- A short description of what you offer
- Your main services or products
- Your opening hours or availability
- Your service area or business location
- Your contact and follow-up preferences
1. Create your assistant
Sign in to Presbot and choose the option to create an assistant.
Enter a clear name that helps you recognize the assistant in your dashboard. In most cases, your business name or website name is the simplest choice.
You can update the assistant later, so focus on creating a useful starting point rather than making every detail perfect.
2. Add your business information
Add the information visitors are most likely to need. This may include your services, prices, locations, hours, policies, booking process, or common requirements.
Use clear and direct language. Write as if you were answering a customer who is visiting your website for the first time.
For example, instead of writing:
We provide several comprehensive solutions for a wide range of customer needs.
Write something more specific:
We provide website design, maintenance, and local SEO services for small businesses.
Specific information helps the assistant give more useful answers.
3. Create Quick topics
Quick topics are tappable starting points that help visitors understand what they can ask.
Choose topics based on common visitor goals. Useful examples include:
- View our services
- Ask about pricing
- Check availability
- Book a consultation
- Request support
- Ask a question
Keep each Quick topic short. Visitors should be able to understand it at a glance.
Start with three to five topics. Too many choices can make the assistant feel harder to use.
4. Add saved answers
Saved answers give you direct control over important responses.
They are useful for questions that need a consistent or carefully written answer, such as:
- What services do you offer?
- How much does it cost?
- Where are you located?
- What are your business hours?
- How can I book an appointment?
- What is your cancellation policy?
Write each answer so it is helpful on its own. Avoid answers that depend on information the visitor cannot see.
For example:
Question: Do you offer free consultations?
Saved answer: Yes. We offer a free 20-minute introductory call to understand what you need and explain the next steps.
5. Add Knowledge
Knowledge gives the Smart Assistant more context about your business.
Add details that may help with questions not covered by a saved answer. This can include:
- Service descriptions
- Business policies
- Areas you serve
- Typical project timelines
- Customer requirements
- Frequently used terms
Organize the information into short sections. Clear headings and complete sentences make it easier to review and maintain.
Do not add private information, passwords, internal notes, or anything you would not want shared with a website visitor.
6. Configure follow-up requests
Presbot can collect useful details when a visitor wants your team to follow up.
Ask only for information you genuinely need. A simple follow-up flow may collect:
- Name
- Email address or phone number
- What the visitor needs help with
- Preferred timing
Short forms are usually easier to complete. Extra questions should have a clear purpose.
For example, a home service business may ask for a postal code, while a consultant may ask for a preferred meeting time.
7. Test the visitor experience
Preview the assistant before adding it to your website.
Test it as if you were a new visitor. Try:
- Opening each Quick topic
- Asking common customer questions
- Asking a question that is not covered by a saved answer
- Starting a follow-up request
- Entering incomplete or unclear information
- Checking the experience on a phone-sized screen
Look for answers that are vague, too long, outdated, or missing an important next step.
Update your saved answers and Knowledge when you find a gap.
8. Add Presbot to your website
When the assistant is ready, copy the installation snippet provided by Presbot and add it to your website.
The exact placement depends on the platform you use. In most cases, the snippet belongs in your site-wide code so the assistant can appear across your public pages.
After installation, open your live website in a private browser window and confirm that:
- The launcher appears correctly
- The assistant opens and closes normally
- Quick topics work
- Answers load correctly
- Follow-up requests are saved
- The assistant does not cover important page controls
9. Improve the assistant over time
Your first version does not need to answer everything.
Review the questions visitors ask and look for patterns. When the same question appears repeatedly, consider adding a saved answer or improving your Knowledge.
Useful improvements may include:
- Clarifying a service description
- Adding a missing policy
- Shortening a long answer
- Creating a new Quick topic
- Removing a question that visitors do not use
- Improving the follow-up questions your team receives
A simple assistant with accurate information is more useful than a complicated assistant with unclear answers.
