How to keep your Presbot Knowledge accurate over time

Create a simple maintenance routine that keeps your Presbot Knowledge clear, current, and consistent.

Knowledge needs regular care

Presbot can only work with the business information available to it.

When services, hours, pricing, locations, or policies change, old Knowledge can lead to answers that are no longer helpful.

A light review routine is usually enough to keep information dependable.

Identify facts that change often

Some information needs more frequent review than others.

Watch:

  • Business hours
  • Availability
  • Prices and plan names
  • Service areas
  • Booking links
  • Promotions
  • Policies

Stable information, such as a company mission or long-standing process, may need less attention.

Choose clear owners

Decide who is responsible for keeping each type of information current.

For example, one person may own pricing, another may own support policies, and another may manage availability.

Clear ownership prevents everyone from assuming someone else will make the update.

Review Knowledge when the website changes

Whenever an important website page is updated, check whether Presbot contains the same fact.

This is especially important for pricing, service details, policies, and locations.

Your website and assistant should not give visitors different answers.

Use complete sentences

Short internal notes may be difficult to interpret later.

Instead of:

Saturday limited.

Write:

Saturday appointments are available on selected dates and must be confirmed in advance.

Complete sentences preserve context and reduce ambiguity.

Separate unrelated facts

Keep different subjects in clear sections or entries.

Mixing pricing, hours, locations, and policies in one large paragraph makes maintenance harder.

Smaller, focused entries are easier to review and update.

Add dates to temporary information

Temporary hours, seasonal availability, and short-term offers should include a clear end date when possible.

This helps your team recognize when the information needs to be removed or replaced.

Remove outdated information instead of layering corrections

Do not leave an old fact in place and add a conflicting correction later.

Replace the old information with one current version.

Conflicting statements make it harder to provide a reliable answer.

Compare Knowledge with saved answers

Important facts may appear in both places.

When you update a saved answer, review the related Knowledge. When you update Knowledge, check saved answers that use the same information.

If visitors receive a vague answer or repeatedly ask for clarification, the source information may be incomplete.

Look for missing details rather than only rewriting the final response.

Test after important updates

For a service area update, test city names, distance questions, and availability outside the normal area.
