Receive and follow up with visitor inquiries
Understand Presbot visitor inquiries, review the submitted details, and follow up with useful context.
What an inquiry may contain
Depending on your assistant configuration, a visitor inquiry may include:
- email address;
- phone number;
- service or topic of interest;
- answers to qualification questions;
- relevant conversation context.
Only request information that your business genuinely needs for follow-up.
Where notifications are sent
Presbot sends inquiry notifications using the account and assistant settings currently configured in the product.
Review those settings before publishing and whenever the responsible contact changes.
Do not assume an inquiry was delivered until you have tested the complete live flow.
Test your notification flow
Submit a test inquiry from the live assistant.
Confirm that:
- the visitor can complete the form;
- required fields are clear;
- confirmation text appears;
- the notification reaches the expected recipient;
- the message contains enough context to respond;
- links and reply instructions work.
Follow up clearly
A strong response should:
- acknowledge the visitor’s request;
- refer to the service or question they selected;
- answer any immediate question;
- explain the next step;
- provide a realistic response or scheduling expectation.
Avoid sending a generic reply that ignores the information the visitor already submitted.
Protect visitor information
Treat inquiry details as customer information.
Only share them with people who need them for legitimate business follow-up.
Do not collect sensitive information through Presbot unless the product and your business processes are designed to handle it appropriately.
Improve the inquiry flow
Review completed and abandoned inquiries.
Consider whether:
- questions are too long;
- visitors are asked for unnecessary information;
- the order of questions is confusing;
- the next step is unclear;
- common visitor concerns should be answered earlier.
The best inquiry flow collects enough context without making the visitor work harder than necessary.
